Privacy Policy
01 Who we are #
Framing The Moment Holdings LLC is a Texas series limited liability company (Texas SOS file no. 806570506), with its registered office at 5900 Balcones Drive STE 100, Austin, Texas 78731. Framing the Moment is the party responsible for the information described in this policy — the “controller,” in the language of privacy law.
Framing The Moment Holdings LLC is a joint venture. Its members are Ascendant Road Holdings LLC, a Texas series limited liability company (Doc. no. 1576262380002), and an individual co-founder. Production and platform services — photography, editing, the website, the application system and the email and text notifications — are provided to us under written agreement by Reminiscent Road Media LLC, a Texas limited liability company (Texas SOS file no. 805544899) and a wholly-owned subsidiary of Ascendant Road Holdings LLC.
Section 7 explains exactly what each of those entities does with your information and, just as importantly, what they are not permitted to do with it.
02 What we collect #
When you apply or register interest
At framingthemoment.net/apply, you give us:
- Identity and contact: your name, the name you want to be credited as, email address, phone number, date of birth, pronouns, preferred contact method
- Location: your home city, how far you are from the production city, and — optionally — the ZIP code and neighborhood you consider your origin
- Professional background: your role and secondary roles, years active, union status, a description of your body of work, why you want to participate, social handles and audience reach, IMDb and portfolio links
- Production logistics: apparel size, hair and makeup needs, transportation needs, wardrobe notes, dietary needs, accessibility needs, emergency contact name and phone
- A headshot, if the installment requires one
- Your selections: installment, city, package tier, available shoot dates, and the acknowledgments you check
- Your Framing Index choice — yes or no — if the application asks whether you want to be considered for a future Index profile. A yes is not publication consent and does not create a profile.
- Your text-message consent, if you choose to give it — see §5
When you subscribe, sponsor, or inquire as a partner
We collect the name, email, organization and message you provide.
When you use Framing Index controls
We collect the email address and statement you submit with a claim, correction, duplicate, name-change, inactive, deceased, disputed-credit, deletion, withdrawal, or opt-out request. We also keep the verification and moderation record needed to resolve the request. Do not submit government IDs, birth dates, addresses, or other sensitive details.
Automatically, when you use the site
We collect standard web analytics through Google Analytics — pages viewed, approximate location derived from IP, device and browser type, and how you arrived. We use this to understand which cities and installments draw interest. We do not use it to build advertising profiles and we do not run advertising pixels.
When we email or text you
Our providers record delivery, and for email, whether the message was opened or a link was clicked.
We do not collect Social Security numbers, government identification numbers, financial account numbers, health records, or biometric identifiers. We do not ask for your race or ethnicity; the installments are open by subject and discipline, and any inference you draw from the theme is not a field in our database.
03 What appears on a public page #
This deserves its own heading because it is the only place where information about you appears publicly. We would rather over-explain it than have you discover it later.
If you apply and are not selected, nothing you submit is published. Ever.
If you are selected for an installment and photographed, you may be featured on the public Origins Map at framingthemoment.net — a map of the neighborhoods that produced the talent in each city. Being featured means these appear publicly, together and attributed to you by name:
- Your name, as you gave it to us
- A portrait of you from the shoot
- Your disciplines — actor, director, writer, and so on
- Your origin neighborhood and ZIP code, if you provided them
- A link to your IMDb profile, if you provided one
That is the point of the page: it is a credit, not a directory listing. The map exists to show that talent is spread evenly across a city and opportunity is not, and it cannot make that argument anonymously.
Your email address, phone number, date of birth, sizing, dietary and accessibility information, emergency contact, payment details and written answers are never published — not on the map, not anywhere.
The origin fields are optional, and a ZIP code covers thousands of households. If you would rather not appear on the map at all, or you appeared and want to come down, email us and we will remove you — see §9. Removal is not conditional on anything.
Framing Index is separate
Framing Index is a searchable directory, not the Origins Map. An application, release, invitation, booking, shoot, Origins Map choice, or past participation does not create an Index listing. Before an Index profile can appear, you must be selected, confirmed as an official participant, separately consent to profile publication, and pass human moderation.
Index consent is granular. You choose separately whether a moderated creator profile, approved media, professional links, general availability, and Index-related marketing may be used. Declining one optional category does not affect the others. Nothing publishes automatically.
Depending on those choices, a public Index profile may show your professional name, biography, city, disciplines, approved production credits, verification labels, approved media, approved professional links, and a general availability label. It never shows private contact details, date of birth, home address, emergency or production logistics, application answers, origin ZIP data, evidence files, or unpublished assets.
You may claim, correct, dispute, withdraw, delete, or opt out through the review form on Framing Index. Verified email access and human moderation protect profiles from unauthorized changes. Withdrawing or opting out removes the public Index projection and does not cancel an application, booking, release, or separate Origins Map choice.
Everything else you submit is visible only to authorized personnel, as described in §7.

We do not sell your information. We do not rent it, trade it, or share it with advertisers or data brokers. We have never done so and this policy does not reserve a right to start.
05 Text messages #
If you check the text-message box on the application form, you are agreeing that Framing The Moment Holdings LLC may text you about installments you have applied to or registered interest in.
What we send: confirmation that you are subscribed; reminders before interest meetings; notice when a meeting or production date or time changes; cancellations; roster decisions; payment deadlines; call times; and news about future installments you have registered interest in.
Frequency: varies. Most applicants receive fewer than ten messages over the course of an installment.
Cost: message and data rates may apply, depending on your carrier and plan. We do not charge you for messages.
Consent is optional. You can apply, be selected, and be photographed without ever agreeing to receive a text. We send every schedule change by email as well, always. Text is an additional channel, never the only one.
How to stop: reply STOP to any message. You will get one confirmation and then nothing further. You may also email info@framingthemoment.net, tell us on the phone, or tell a producer — any clear request to stop works, in any channel, and we honor it within one business day and in no case later than ten business days. Reply HELP to any message for our contact information. Reply START to resume.
When you consent, we record it. We keep the exact wording of the consent language you saw, a server-generated timestamp, the IP address and browser of the device used, and the delivery record of the confirmation message. That record exists so that if there is ever a question about whether you agreed, we can answer it with evidence instead of assertion. See §14 for how long we keep it.
We use Twilio Inc. to deliver text messages. Twilio processes your phone number and the message content solely to deliver the message on our behalf and is contractually barred from using it for anything else.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All other categories of information exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
06 Cookies and analytics #
We use Google Analytics and Firebase, which set cookies and similar identifiers to distinguish visits and measure traffic. We do not use advertising cookies, retargeting pixels, or cross-site trackers.
You can block or delete these through your browser settings, or install Google’s Analytics opt-out browser add-on. Blocking them will not affect your ability to apply, and we do not serve a cookie wall.
We honor Global Privacy Control signals sent by your browser as an opt-out of any sharing of your personal data for targeted advertising. Since we do not share data for targeted advertising in the first place, this changes nothing about how we treat you — we honor it so that the answer is on the record.
07 Who else touches your information, and what they may not do with it #
Reminiscent Road Media LLC operates the platform and the production. Under a written License and Services Agreement with us, RRM personnel and systems process applications, send our email and text notifications, photograph and edit the installments, and operate the production management tools we use once a roster is selected. RRM acts on our instructions. RRM may not use your application information for its own marketing, and does not receive your text-message consent record for its own use.
There is one place where a separate relationship can begin, and we want it stated plainly rather than buried: Reminiscent Road Media LLC holds the copyright in the photographs. If you are photographed and you later want to purchase additional frames or prints beyond your package, that purchase happens directly with Reminiscent Road Media through its own client portal, under its own terms and its own privacy policy. That is a new relationship that you enter voluntarily. Agreeing to hear from Framing the Moment does not mean you have agreed to hear from Reminiscent Road Media about anything it sells, and your Framing the Moment text-message consent does not carry over.
Ascendant Road Holdings LLC is a member of Framing The Moment Holdings LLC. It receives financial and operational reporting about the joint venture. It does not receive applicant records in the ordinary course of business.
Production management. Once you are selected for a roster, the information needed to run the production — your name, contact details, role, call time and production-day logistics — is transferred into the production management system operated by Reminiscent Road Media so that scheduling and call sheets work. Applications that are not selected are never transferred.

Each processes information only to provide its service to us.
Legal. We will disclose information if we are required to by law, subpoena or court order, or where necessary to protect the safety of a person on our production. If we receive a legal demand for your information and are permitted to tell you, we will.
A change of control. If Framing The Moment Holdings LLC is sold, merged, or dissolved, applicant information may transfer to a successor, which would be bound by this policy or would have to obtain fresh consent. We will post notice on this page before any such transfer takes effect.
08 Where your information lives, and how it is protected #
Information is stored in Google Cloud Platform data centers in the United States. It is encrypted in transit and at rest.
Access is restricted to authorized personnel of Framing The Moment Holdings LLC and of Reminiscent Road Media LLC, each of whom must authenticate with a verified account. Sensitive collections require multi-factor authentication. Administrative actions are recorded in an audit log.
No system is perfectly secure, and we will not tell you otherwise. If we discover a breach affecting your information, we will notify you and the appropriate authorities without unreasonable delay.
09 Your rights #
Whether or not a privacy statute applies to a business our size, we extend these rights to everyone who gives us information:
- Know what we hold about you and why
- Get a copy, in a portable format
- Correct anything inaccurate
- Delete your information, subject to the narrow exceptions in §15
- Withdraw consent to text messages, at any time, in any channel
- Remove your marker from the public Origins Map
- Claim, correct, withdraw, delete, or opt out of a Framing Index profile
- Object to a decision made about you and have a person review it
- Be free from retaliation — exercising any of these rights will not affect a pending application or a confirmed booking in any way
How: use the moderated request form at Framing Index, or email info@framingthemoment.net with the subject line “Privacy Request.” Tell us what you want and give us the email address or phone number you used so we can find you.
Our commitment: we acknowledge within 10 business days and complete the request within 45 days. If a request is genuinely complex we may extend once by another 45 days, and we will tell you why before we do. There is no charge.
If we say no, we will explain why in writing and tell you how to appeal. We respond to appeals within 60 days. If you are still unsatisfied, you may complain to the Office of the Attorney General of Texas.
Verification: we will confirm you control the email or phone number on file before acting on a request for copies or deletion. We will not demand a government ID.
10 Minors #
Our installments are for adults. We do not knowingly collect information from anyone under 18, every application requires an affirmation that the applicant is 18 or older, and we collect date of birth to check it.
If we learn that someone under 18 has submitted an application, we delete the record. A parent or guardian who believes we hold information about a minor should email info@framingthemoment.net and we will delete it promptly and confirm in writing.
11 Changes to this policy #
We will post any change here with a new effective date. For a change that materially affects how we use information you already gave us, we will email everyone with an active record at least 14 days before it takes effect, and where the change affects text messaging we will ask again rather than assume.
Prior versions are available on request.

Data Control and Retention
We would rather delete something than hold it without a reason. This part says exactly how long we keep each category of information and why, and what happens when you ask us to get rid of it. It is written to stand alone, so it can also be handed to a partner, a venue, or a sponsor who asks how we handle applicant data.

14 Why the consent record outlives the application #
If you opt in to text messages and we later delete your application under the schedule above, we still keep the consent record — the wording you agreed to, when, and from what device.
That record is not marketing data and it is never used to contact you. It is proof, held for one purpose: if anyone ever asks whether you agreed to receive a message we sent, we can show that you did, rather than asking you to take our word for it. It contains your phone number, a timestamp, an IP address, and the consent text. It does not contain your application.
15 What deletion actually deletes #
When you ask us to delete your information, we delete it — including your application, your headshot, your contact details, your Origins Map entry, your public Framing Index projection, and your record in our email system.
Three narrow things survive, and here is exactly why:
- Your opt-out record. If you told us to stop texting you or opted out of Framing Index, we keep the minimum phone number or one-way email identifier needed on the relevant suppression list permanently, with no profile or application attached. This is not us ignoring you — it is the opposite. If we deleted it, our system would no longer know you had opted out. The suppression list is the mechanism that honors your request.
- Financial records, where a payment was made, for the 7 years tax law requires.
- Anything under legal hold, if we have been notified of a claim or investigation that requires preserving it. We will tell you if this applies to you, and we will delete it when the hold lifts.
Everything else goes, and we confirm in writing when it is done.
16 The rights we extend, regardless of whether we have to #
Most state privacy statutes have thresholds that a company our size does not meet. We are not going to use that as a reason to treat you worse than a larger company would have to.
We voluntarily extend to every applicant, in every state: the right to know, to obtain a copy, to correct, to delete, to withdraw consent, to opt out of any sale or targeted-advertising use of your data (we do neither), and to appeal a decision we make about a request.

17 Data minimization, in practice #
Three commitments that are checkable rather than aspirational:
- We do not ask for a field we cannot name a use for. If a question appears on the application form, §4 of this policy explains what it is for. If we ever cannot fill in that column, the question comes off the form.
- Sensitive production fields have the shortest life of anything we hold. Your emergency contact, dietary needs and accessibility needs are deleted 90 days after the shoot — before your photographs are even finished.
- We do not enrich, append, or purchase data about you. What we know about you is what you told us and what the site’s analytics measured. We do not buy lists and we do not run your email address against a data broker.
